Overview
There is a new version of the Course Enrollment Totals report. It returns enrollment data 5 to 10 times faster than the current report and is built to handle large datasets without timing out.
The current Course Enrollment Totals report is still available and has not changed.
Why We Made This Change
The current report sometimes times out when processing large amounts of data, and its search can make it hard to find the right course or learner. The new report fixes both issues: large reports finish, and search is faster and more accurate.
Who Can Use It
| Role | What you can report on |
|---|---|
| University Admin | Your whole university, including internal and external enrollments. All filters and columns. |
| Group Admin / Report Viewer | Courses and learners in the groups you administer, internal enrollments only. All optional columns. |
| Course Instructor | Your own courses, with the Seat Time and Course Categories columns. |
Note: External enrollments are enrollments in your courses that happen at another university, such as when you share a course through the Sharing Center.
Run the New Report
- Go to the Course Enrollment Totals page.
- Select the link to the new version of the report.
-
Set your filters and select Run.
Set Up a Report
Date range. Report on any date range back to 2002. For ranges over five years, the report downloads as a CSV file so you get the full dataset.
Count basis. Choose whether the report counts by enrollment or by completion.
Find courses and learners. Type at least three characters in the course or learner field to search. Search is not case-sensitive, and words can be in any order.
Filters narrow each other.
- Pick a category, and the course search shows only courses in that category.
- Pick a group, and the learner search shows only learners in that group.
Include or exclude.
- Only these: report on just the items you pick.
- All except: report on everything except the items you pick.
Note: Selecting a parent group or category also selects everything under it.
Add Columns and Export
After the report runs, you can show or hide these columns without running it again:
- Seat Time
- Course Categories
- User Groups
- Your university's custom fields
CSV export includes the columns you have showing on screen.
Hidden Learners
Some learners show as "Hidden by subscriber privacy settings." These are external learners from a university that has privacy turned on. Their enrollments still count in your totals.
Not Available Yet
The new report works at the enrollment level only. These features are planned for future releases.
| Not available yet | What to do instead |
|---|---|
| Excluding guest enrollments | Run the current report with Include Guests unchecked |
| Course Type column | Use the current report |
| Module-level detail and ILT session data | Use the current report |
| Reporting across an associate university | Use the current report |
| Filtering for courses with no category, or learners in no group | Neither report supports this |
| Scheduled reports | Run the report on demand |
Frequently Asked Questions
Is the current report going away?
No. Both reports are available, and the current Course Enrollment Totals report has not changed.
Do I need to turn on the new Course Enrollment Totals report?
No. It's available to every university as of October 1, 2026.
Why are some of my totals higher than in the current report?
The new report always includes guest enrollments and can't exclude them yet. To get totals without guests, run the current report with Include Guests unchecked. This only affects universities that allow guest enrollment. A difference in totals is expected and isn't an error.
I'm a Group Admin or Report Viewer. Why do I see fewer rows?
The new report includes groups you administer, not groups you belong to as a learner. Learner membership also no longer gives access to categories restricted to that group. This is expected.
Why did my report download as a CSV instead of showing on screen?
Date ranges longer than five years download directly as a CSV so you get the full dataset.
