WHAT ARE SMART CATEGORIES?
Smart Categories (Picklists) is a new enhancement that improves the process of creating course tracks and forecasting the effectiveness of these tracks. With Smart Categories, Category Managers can increase sales of high velocity/low margin products by helping to distribute highly-targeted groups of courses.
WHAT ARE THE BENEFITS?
Smart Categories enable Category Managers to:
- Increase product sales by more readily educating sales reps about fixed sets of products.
- More easily manage margin mix.
- Quickly create new categories after courses are shared with them by using the Smart Categories feature.
HOW TO ACCESS SMART CATEGORIES
You can use Smart Categories to add batches of courses to a new category or when you want to add a course that has been recently shared with you to a new category.
To use Smart Categories, first navigate to your university, then follow the steps below.
- Hover over Admin at the top of the screen to open the drop down menu, then, select Dashboard.
- On the next screen, click Sharing Center in the menubar at the top, then select My Shared Courses. The BlueVolt Sharing Center screen will load.
- Below the BlueVolt Sharing Center page title, select the tab titled My Shared Courses, then, click Courses Shared with Me. To learn how to create categories without adding courses, click here. To learn how to add courses to existing categories, click here.
HOW TO USE THE SAVE A NEW SMART CATEGORY FEATURE
After clicking Courses Shared with Me, the list of courses will display. Column headers at the top function as filters that enable you to rapidly find the courses you wish to add to a new category. Follow the steps below to create a new category and add courses to it.
- Click a Column Header to access the Filter for that column and make the appropriate selections to begin narrowing down your courses. You can apply filters from multiple columns to narrow your results even further. By default, filters are set to Off (or All) and you can use the word “or“ between filters.

- Once your filters are applied, select the courses you wish to add to the new category by clicking the checkbox to the immediate left of each course listing.
- To save your courses to a new category, click the Save Courses to New Category Button. The Save Category popup window will open.
- In the Category Name field, type the category name you want to create.
- If you would like to, you can select a user that you wish to share the category with under the Share With field.
- When you’ve completed the fields, click the Create Category button.
HOW TO FIND THE NEW CATEGORY
Once you’ve created a new category, you’ll also need to find it in the future. The steps below will guide you to the category you just created.
- In the menubar at the top of the screen, click My University.
- From the drop down menu, hover your mouse over Catalog to open a flyout menu, then select Categories.
HOW TO MANAGE COURSE SHARE STATUS, GROUP, AND CATEGORY
There may be times when you wish to edit the course share status, group, and category and you can do that easily from within the Courses Shared with Me tab mentioned above. Follow the instructions below to make your edits.
- Follow the steps above to navigate to the Courses Shared with Me tab under My Shared Courses.
- Use the filters to narrow down the list of courses until you’re able to find the course you’d like to edit. Once you’ve found it, click Edit under the Edit column on the left side of the course listing.
- In the pop up window the opens, you have the option to change the following:
- To change the status of the course, select the drop under the Course Status field and choose the corresponding status.
- You can choose from either Active or Inactive.
- To change the category, click in the + Add Categories field under Categories and search for existing categories.
- To select the groups you do and don’t want to have access to the course, click in the + Add Groups field under Group Restrictions and search for existing groups.
- To change the status of the course, select the drop under the Course Status field and choose the corresponding status.
